Advancement Operations Manager 

Olney Theatre Center for the Arts seeks a dynamic and thoughtful fundraising professional to join our advancement team as Advancement Operations Manager. Reporting to the Director of Advancement, the Advancement Operations Manager is responsible for managing and optimizing Olney Theatre’s fundraising systems and processes. Overseeing the day-to-day activities of the advancement department the Operations Manager coordinates the advancement calendar including fundraising campaigns, special events, and appeals. Olney Theatre’s annual fund raises up to $5 million in contributed support. The position will also play a role in helping Olney Theatre complete a major capital campaign. 

This individual ensures prospective donors are properly researched and gifts are accurately recorded and acknowledged in a timely manner. The ideal candidate is organized and self-motivated, understands how to collect and interpret data, and has passion for supporting our mission through maximizing contributed income. 

Key Responsibilities include: 

  • Management of all Tessitura (customer relations management system) activities pertaining to contributed income including maintaining constituent records, tracking donor cultivation and stewardship activities, recording and acknowledging gifts, designing and running reports, creating plans, running queries and segmenting prospect and donor lists; 
  • Lead donor and board prospect research including management of wealth screening technology, creation of individual profiles, and analysis of current member, donor, and single ticket buyer behavior; This individual will staff the board nominating committee and work closely with committee members to evaluate candidates. 
  • Manage donor benefit fulfillment working collaboratively with Donor Relations Manager, Deputy Director of Advancement, and Director of Advancement to ensure exceptional donor experiences; 
  • Analyze data regularly to understand trends and to identify new opportunities to increase giving;
  • Create and manage the advancement calendar including prospect and donor events, solicitations, and other donor communications; 
  • Work closely with the Director of Advancement to create advancement budgets. Track department income and expenses and work with the finance department to ensure accurate organizational records; 
  • Manage department’s use of third party software including Tessitura, iwave,Wordfly, Handbid (auction mobile bidding app), Tiptap, and others. Stay up to date on new technologies and industry best practices;
  • Collaborate with the five-person advancement team to develop fundraising strategies and design appeals and special events. Support advancement events including first rehearsals, opening nights, annual galas, and board meetings. Staff both the board nominating and advancement committees.

Qualifications: 

  • Passion for performing arts is a must; 
  • 2-5 years of fundraising experience or a combination of education and professional experience;
  • Advanced knowledge of Tessitura or similar customer relations management software. Strong working knowledge of Excel and Microsoft word. Some experience with wealth screening tools and prospect research preferred. 
  • Strong organizational skills, including the ability to conduct and coordinate multiple tasks and meet deadlines and to create and manage systems and processes to increase team productivity and efficiency. 
  • Exceptional ability to collect and independently analyze data and to make data-based recommendations. 
  • Availability to work evening hours and weekends, as needed for special events and board meetings; 

Salary and Start date 

The anticipated start date is immediate. The salary range is 50s - 60s,  commensurate with experience.
